ORGANIZATION DESCRIPTION: American Prairie Foundation, d.b.a. American Prairie Reserve (“APR”), is a non-profit 501(c)3 corporation generating funds to build and manage deeded private land and leased public land which comprise our growing project area in Northeastern Montana. APR runs programmatic and operational functions in our project area with administrative and development functions based in Bozeman, Montana.  Our mission is to create the largest nature reserve in the continental United States, a refuge for people and wildlife preserved forever as part of America’s heritage.

JOB PURPOSE: Accounting Manager responsibilities include managing all accounting and financial reporting functions for the organization. This individual will develop and maintain accounting best practices, and systems for collecting, analyzing and reporting information. Must have a strong understanding of Generally Accepted Accounting Principles (GAAP). The Accounting Manager, working with the VP of Finance & Operations, will advise on budgets, financial reporting, and forecasting. He or she will also be responsible for general accounting including accounts payable, accounts receivable, payroll, financial analysis, audit preparation, and supporting managers across teams with financial procedures.

PRIMARY JOB DUTIES:

  • Prepare periodic financial statements and analysis for the organization.
  • Maintain and oversee all accounting procedures and processes.
  • Facilitate the annual budget process, periodic budget reporting and analysis of budget-vs-actual results. Communicate budget activity to departmental managers on a regular basis.
  • Maintain accurate accounting records of all donations, pledges and cash receipts and maintain monthly reconciliations with development team.
  • Responsible for tracking organizational spending against restricted funds.
  • Oversee processing of accounts payable, including seeking approval for invoices and cash disbursements, coding and data entry of invoices, printing checks, and maintenance of vendor files.
  • Responsible for all aspects of company credit card use, including tracking and reconciling activity, data entry, remitting payments, card issuance and increases in credit limit.  Assists staff with credit card issues. Issues and updates credit cards and card user agreements.
  • Assist staff with accounting inquiries and issues.
  • Process bi-weekly payroll and trimester variable compensation payments.
  • Prepare quarterly and annual payroll reports and documents and 1099 forms.
  • Process monthly journal entries and periodic general ledger reconciliations.
  • Record lease payments from lessees, and payments to lessors, and communicates information to stakeholders.
  • Monitor spending trends across the organization and communicates inconsistencies to VP of Finance & Operations.
  • Responsible for cash management forecasting and compiling financial info including cash projections, financial statements, and budget variances.
  • Prepare for annual audit.
  • Prepare for and participates in State Fund and Payroll Audits for benefits and payroll insurance.
  • Maintain permanent accounting files relating to properties and fixed assets.
  • Routinely update the accounting procedures and internal controls manuals.


Specific Skills, Educational Requirements, Credentials, Experience, Knowledge, and Attributes that are needed for high performance:

  • Enthusiasm for, and positive representation of, APR’s mission, goals, values, and culture.
  • B.S. in Accounting plus three years accounting experience, OR an equivalent combination of relevant education and experience.  Experience in accounting for non-profit organizations preferred.
  • Demonstrated competence managing, monitoring, and reconciling fiscal records.
  • Demonstrated knowledge of accounting rules and regulations governing recordkeeping and fiscal management.
  • Demonstrated competence using accounting software (double-entry system preferred), as well as spreadsheet, word processing, and e-mail software. Microsoft Office Excel and Word are preferred. 
  • Demonstrated experience providing critical fiscal support to an organization with close attention to detail.
  • Demonstrated excellent communication skills, written and verbal, with the ability to clearly communicate issues and instructions to all levels of staff.
  • High level of interpersonal skills with demonstrated poise, tact and diplomacy.
  • Strong organizational skills and ability to prioritize workload in order to meet tight deadlines in a fast-paced and dynamic work environment.
  • Flexibility and ability to work well in a team environment.
  • Minimal travel required.
